Sorry, Not Sorry

 

Different communication styles can have a great impact on the outcome of an exchange, be it verbal or written. Some people tend more toward using softer, more passive language and over apologizing. Others can be more direct and less empathetic. How do we stay true to our personal nature and participate in engaging and collaborate conversations, especially during negotiations? 

In trying to be nice and polite, we can lean on “soft language” to pad our messages and protect our audiences. But it can backfire, making the speaker sound unconfident and in need of reassurance. How do we communicate confidence and authority and an expectation that we are equal while still being ourselves?  

 

Offer a Solution: 

  • Rather than focusing on a mistake that was made, and apologizing, skip straight to correcting it. “I didn’t include this information in the last email. You can find additional details below.” 
  • Shift from regret to gratitude: Instead of “I’m so sorry this is late!” say, “Thank you for your patience.”
  • Focus on solidarity, if that’s what you mean: Rather than, “I’m sorry you’re going through that,” say, “That sounds so frustrating. I’m not sure how to help, but I’m here for you.”
